This policy explains how QuickRec collects, uses, and protects your personal information across quickrec.org and app.quickrec.org.

Welcome to QuickRec. This Privacy Policy applies to the QuickRec marketing website (quickrec.org) and the QuickRec application platform (app.quickrec.org). It explains how we collect, use, store, and protect your personal information. Please read this policy carefully before using our services. Information We Collect

To provide recording, transcription, and AI notes services, we collect information in the following scenarios:

  • Account information: the email address and credentials you provide when registering, used for authentication and service access.
  • Device pairing information: pairing codes, device IDs, and watch models generated when pairing your watch, used to maintain the device-account binding.
  • Audio recordings: audio files captured on your Amazfit watch and synced to the cloud. These files are stored under your account and accessible only to you.
  • Transcription text: text content generated from your recordings by our cloud speech recognition engine.
  • AI-generated meeting notes: structured notes generated by AI from transcription text, including key points, decisions, and action items.
  • Third-party AI provider configuration: if you connect your own AI provider (e.g., OpenAI, Claude), your API Key is stored encrypted and used solely to make requests to your designated provider on your behalf. We do not read or share your API Key.
  • Operational and technical logs: access logs, error logs, and performance metrics used to maintain service stability and troubleshoot issues. These do not contain recording content.

How We Use This Information

We use collected information solely for the following purposes:

  • Account authentication and sign-in: verifying your identity and keeping your account secure.
  • Device pairing and management: completing watch-account binding and supporting multi-device management.
  • Recording sync and storage: automatically syncing watch recordings to your cloud account and storing them securely.
  • Speech transcription: converting recordings into searchable text.
  • AI meeting notes generation: calling AI services to generate structured notes from transcription text.
  • Cross-device data sync: keeping your data consistent between the web app and your watch.
  • Product improvement and troubleshooting: using anonymized log data to improve the product and diagnose technical issues.
  • Service notifications: notifying you by email when necessary (e.g., important security updates or service changes).

Information Sharing & Third-Party Services

We do not sell your personal data. In the following circumstances, some data may be shared with third parties:

  • Your configured AI provider: if you connect a third-party AI provider (e.g., OpenAI), your transcription text will be sent to that provider to generate meeting notes. This is initiated and configured by you and is subject to that provider's own privacy policy.
  • Cloud storage and transcription service providers: we use trusted cloud infrastructure providers to store audio files and perform speech transcription. These providers protect your data under contractual obligations.
  • Legal requirements: if required by law, regulation, or competent authorities, we may disclose necessary information, and will provide advance notice where permitted by law.

Data Storage & Security

We take the following measures to protect the security of your data:

  • Encryption in transit: all communication between clients and servers is encrypted via TLS/HTTPS.
  • Encryption at rest: audio recordings and sensitive account data are stored encrypted in the cloud.
  • API Key protection: third-party AI provider API Keys you configure are encrypted before storage and never stored in plaintext.
  • Access controls: only authorized systems and personnel can access production data, with regular permission reviews.
  • That said, no internet transmission is entirely secure. We recommend using a strong password and keeping your account credentials safe.

Data Retention

We retain your data for the following periods:

  • Account data: retained for the lifetime of your account, and deleted within 90 days after account cancellation.
  • Audio recordings and transcription text: retained until you delete them, or deleted when your account is cancelled.
  • AI meeting notes: same as above, deleted with the recording or when the account is cancelled.
  • Operational logs: typically retained for no more than 180 days for troubleshooting and security auditing, then automatically purged.
  • You can manually delete individual recordings and their associated transcriptions and notes in app.quickrec.org. To delete your account and all data, please contact [email protected].

Your Rights & Choices

Subject to applicable law, you have the following rights regarding your personal data:

  • Right of access: you can request a copy of the personal data we hold about you.
  • Right to rectification: if your data is inaccurate or incomplete, you can request correction.
  • Right to erasure: you can request deletion of your account and all associated data.
  • Right to data portability: you can request an export of your recordings and transcription text in a machine-readable format.
  • Right to withdraw consent: where we process data based on your consent, you can withdraw it at any time, without affecting processing already carried out.

Children's Privacy

QuickRec's services are intended for adult users and are not directed at children under the age of 14. We do not knowingly collect personal information from children under 14. If you are a parent or guardian and believe we may have inadvertently collected information about a child, please contact us immediately at [email protected] and we will promptly verify and delete any such data.

International Data Transfers

QuickRec is a global product. Your data may be transferred to and processed on servers located outside your country or region of residence. We ensure that such transfers comply with applicable data protection laws and require recipients to provide equivalent levels of protection as described in this policy. We may update this Privacy Policy from time to time to reflect changes in product features or legal requirements. When we make significant changes, we will post an update notice on quickrec.org and update the "Last Updated" date at the top of this page.
